How to Set Up a Custom Apparel Webstore for Your
School or Team

By Canadian Custom Apparel | Concord, Vaughan, Ontario | canadiancustomapparel.com

Running spirit wear sales, grad hoodies, or team uniform orders through group chats and spreadsheets is a headache. Parents miss the deadline. Sizes get mixed up. Money goes missing. Someone always ends up with the wrong shirt.
There's a better way — a custom apparel webstore. And if you're a school, sports team, or community organization in Ontario, Canadian Custom Apparel can set one up for you for free.

Here's everything you need to know about how it works, who it's for, and how to get started.

What is a custom apparel webstore?

A custom apparel webstore is a private online store built specifically for your group. Instead of collecting orders manually, you send your members a link. They visit the store, choose their items, pick their size, pay online, and that's it. No spreadsheets. No chasing people for e- transfers. No leftover inventory sitting in someone's garage.

CCA builds and hosts these stores as part of our webstore program. Your store is live on our platform, branded with your logo and colours, and connected directly to our production facility in Concord, Vaughan. When the ordering window closes, we produce everything and ship or distribute to your members.

Who is a webstore right for?

Webstores work for any group that needs to sell or distribute custom apparel to its members on
an ongoing or seasonal basis. The most common use cases we see at CCA:

Schools and school councils

Spirit wear campaigns, grad hoodies, staff appreciation gifts, and seasonal apparel programs. A webstore eliminates the paper order form entirely — students and parents order online, pay by credit card, and pick up their gear when it arrives. Works for both public and Catholic school boards across Ontario.

Sports teams and leagues

House league jerseys, rep team uniforms, practice gear, and fan apparel. A webstore lets
parents order at their own pace during the ordering window, with no coach or manager having to chase anyone down. Ideal for hockey associations, soccer clubs, lacrosse leagues, and any sport with multiple teams and sizes to manage.

Dance studios and performing arts schools

Recital costumes, branded warm-up gear, studio merch, and teacher apparel. Dance studios with 100+ students across multiple classes are a perfect fit for a webstore — parents log in once, order what they need, and everything gets produced in one run.

Corporate and nonprofit organizations

Staff uniform programs, branded merchandise stores, and event apparel. A webstore with an always-open ordering window means new hires can order their uniform the day they start, without requiring a manager to place a bulk order on their behalf.

Community groups and associations

Volunteer organizations, religious groups, cultural associations, and community clubs. A webstore makes it easy to sell branded apparel at events or keep a permanent online store running year-round.

How does a CCA webstore work?

Here's the process from start to finish:

Step 1 — Design your products

Work with our art team to finalize the products you want to offer — t-shirts, hoodies, hats, jackets, or whatever suits your group. We'll create digital mockups for your approval before the store goes live. You choose the garment styles, colours, and decoration method (screen printing, embroidery, or DTF).

Step 2 — We build your store

CCA sets up your webstore on our platform. Your store gets your logo, your colours, and your product lineup. We set your pricing, configure the ordering window (open for a set number of days or always-on), and set up payment processing. You review and approve before it goes live.

Step 3 — Share your store link

Once live, you share your store link with your members — by email, social media, school newsletter, or team chat. Members visit the link, browse the products, choose their size and quantity, and pay online by credit card. No cash. No e-transfers. No manual tracking.

Step 4 — Ordering window closes

When the ordering window closes, CCA receives all the orders automatically. We produce
everything in one efficient production run at our Concord facility and ship directly to your location
— or to individual members if the store is set up for individual shipping.

Step 5 — Distribution

For school and team stores, we typically ship everything to one location (the school or the coach) for local distribution. For larger organizations, we can set up individual shipping to each member's home address. Both options are available.

What does a webstore cost?

CCA builds and hosts webstores at no charge. There are no setup fees and no monthly fees. You pay only for the products ordered — at the same prices as a regular CCA order. For groups that want to add a markup and collect fundraising revenue, we can configure that into the store pricing as well.

Individual shipping adds a per-order shipping fee if members want items sent directly to their homes. Group shipping to one location is always free on orders over $400.

What products can be sold in a webstore?

Any product in the CCA catalogue can be offered in a webstore. The most popular choices for
schools and teams:
● Custom hoodies — crew neck and pullover styles
● T-shirts — short and long sleeve
● Hats and caps — structured and unstructured
● Jackets and vests
● Athletic wear and jerseys
● Bags and backpacks
● Socks — custom knit or DTF decorated
We can include as few as 2–3 items or a full catalogue of 10 products depending on what your
group needs.

How long does a webstore take to set up?

Once you've approved your product designs and store layout, CCA can have your store live within 3–5 business days. The design and approval process typically takes 1–2 weeks depending on how quickly artwork is finalized.

For seasonal campaigns like back-to-school spirit wear or spring grad hoodies, we recommend starting the process 4-5 weeks before you want the products in hand — to allow time for design, store setup, the ordering window, and production.

Webstore tips for schools and teams

● Set a clear ordering deadline and communicate it at least twice — once when the store opens and once 48 hours before it closes
● Offer 2–3 product options rather than a large catalogue — too many choices leads to decision paralysis and lower conversion
● Include a size guide link on the store — sizing questions are the most common reason members don't complete their order
● Promote the store in multiple channels — email, social media, and a physical flyer if possible
● For schools, send a note home with students in addition to emailing parents — not all parents check school email consistently
